Policies

Records Management Policy

It is hereby declared to be the policy of Tarrant County to provide for efficient, economical, and effective controls over the creation, distribution, use, maintenance, retention, preservation, protection, and disposition of all county records through a comprehensive system of integrated procedures for the management of records from their creation to their ultimate disposition, consistent with the requirements of the Texas Local Government Act and accepted records management practices.

Enterprise Imaging Policy

Enterprise imaging is the capture and index of scanned documents in a centralized or decentralized environment and the subsequent transfer of these electronic documents into Tarrant County’s Enterprise Repository. This repository is the Electronic Document Management software which is based on the Mobius ViewDirect technology enabled for imaging. It is the policy of Tarrant County to:

  • comply with Local Government Code Chapter 205, Electronic Storage of Records and Texas Administrative Code, Chapter 7.
  • perform analysis of departmental imaging requests and make recommendations in writing.
  • index images as required by state law according to the source document index and in conformance of county standards including the records series title of the State Control Schedule.
  • index images to the source document type to include the Texas State libraries record series information (title, item number, etc.).
  • destroy or return source documents to end user after imaging.
  • perform visual quality control on each scanned image and related index data.

Enterprise Repository Policy

The Enterprise Repository is a centralized database and associated software that provides hierarchical storage and lifecycle management of Tarrant County’s electronic documents regardless of format and ensures countywide or global secured access according to end user requirements. It is the policy of Tarrant County to:

  • comply with Local Government Code Chapter 205, Electronic Storage of Records and Texas Administrative Code, Chapter 7.
  • manage electronic documents for their lifecycle as defined in the approved Departmental Control Schedule.
  • manage electronic documents across the media hierarchy according to user access and document lifecycle.
  • and manage electronic documents on the most economical and efficient media and platform.
